The Office of Tanya Plibersek MP (the Office) takes privacy seriously. This document sets out how the Office handles any personal information it receives.

1. General Principles

1.1       Insofar as it collects personal information, the Office undertakes to do so by means that are fair, legal and transparent.

2.1       Generally, the information collected by the Office on its website is provided during voluntary contact, volunteer and petition forms. This includes the name, address and preferences entered by participants.

2.2       We will not share personal information with anyone else, unless such data is clearly collected for the purposes of a public petition to an Australian parliament.

2.3       When organising a petition the ALP will collect information required by the petition.

2.4       The Office may also collect other non-identifying information relating to website usage via cookies in order to monitor website usage and improve the user experience. This information includes time, date, IP address, browser and other general website usage information.

3. Email Subscriptions

3.1       All new email subscriptions via the website use a double-opt-in process which requires a request and confirmation of the request for an e-mail address to be added to a mailing list. All emails and newsletters sent via automated mailing lists will clearly identify the Office or its representative as the sender and will include a simple method for unsubscribing.

4. Electorate Office Records

4.1       Personal information, including information in correspondence provided by constituents to ALP Members of Parliament, will generally be kept on file to facilitate the handling of their enquiry or request. The ALP uses a software program called Electrac for this purpose. Electrac records constituent notes made by staff against an electronic copy of the electoral roll.

4.2       All usage of the electoral roll complies with the requirements of the Commonwealth Electoral Act 1918 and state or territory electoral legislation. Neither the electoral roll nor any personal information will be used for any commercial purpose.

4.3       Sometimes we collect personal information from a third party if you have consented or would reasonably expect us to collect the information in this way, for example from publicly available sources such as websites or telephone directories. Where the ALP collects personal information from sources other than voluntary provision by a supporter or elector, it undertakes:

(a)         to do so only by legal means,

(b)         to declare what sources it uses, and under what circumstances.

5. Security of personal information

5.1       The ALP undertakes to store any personal information in a manner that ensures security against unauthorised access, alteration or deletion, at a level commensurate with its sensitivity.

5.2       The ALP undertakes to transmit any personal information in a manner that ensures security against unauthorised access, alteration or deletion, at a level commensurate with its sensitivity.

5.3       The ALP undertakes to implement reasonable measures to ensure security of personal information against inappropriate use by contractors and staff members, including limiting access to personal information on a ‘need to use’ basis.
